The Office Assistant / Administration Coordinator provides administrative and operational support to ensure the smooth functioning of the office. This role involves handling day-to-day office activities, coordinating administrative processes, supporting staff, and maintaining records with a high level of accuracy and professionalism.
Key Responsibilities
Administrative & Office Support
• Manage daily office operations and ensure a well-organized work environment
• Handle incoming calls, emails, and correspondence
• Schedule meetings, appointments, and maintain calendars
• Prepare documents, reports, presentations, and meeting minutes
Coordination & Communication
• Act as a point of contact between departments, vendors, and external stakeholders
• Coordinate office supplies procurement and inventory management
• Assist in organizing meetings, events, and internal activities
Records & Documentation
• Maintain physical and digital filing systems
• Update databases, records, and administrative logs
• Ensure confidentiality and proper handling of sensitive information
Support Functions
• Assist HR with onboarding documentation, attendance records, and employee coordination
• Support finance/admin teams with invoices, expense tracking, and basic bookkeeping tasks
• Handle travel arrangements and logistics when required

Required Skills & Qualifications
• Certificate in Business Administration or related field (preferred)
• 1–3 years of experience in an administrative or office support role
• Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
• Strong organizational and time-management skills
• Excellent verbal and written communication skills
• Ability to multitask and work independently
