About the Role:
As a Personal Assistant to the Director, you will play an integral part in supporting the Director’s daily operations and ensuring smooth coordination of business activities. This is an exciting opportunity to work with an international team and help our customer expand its operations globally. You’ll be expected to take on a variety of administrative and executive duties, ensuring the Director’s workday is well-organized and efficient.

Work Hours:
• Monday to Friday: 07:00 AM – 03:30 PM
• Saturday: 07:00 AM – 11:00 AM
Key Responsibilities:
As a Personal Assistant to the Director, you will:
• Manage Communications: Handle the Director's emails, letters, and messages with confidentiality and professionalism.
• Organize the Director’s Schedule: Oversee and manage the Director’s calendar (Google Calendar).
• Travel Arrangements: Coordinate national and international travel plans and logistics.
• Report Generation: Create and analyze reports using the company’s Xero accounting system (experience with Xero is a plus).
• Administrative Support: Screen phone calls, inquiries, and provide assistance in managing day-to-day office tasks.
• Research & Development: Conduct research as needed for products and services, as directed by the Director.
• Meeting Preparation & Support: Ensure the Director is prepared for meetings by organizing and attending, taking notes, and recording minutes.
• Client Coordination: Build strong relationships with clients, team members, and external contacts.
• Project Management: Assist with new projects and initiatives, including data entry and payroll/accounting-related tasks.
Ideal Candidate:
We are looking for a highly organized, proactive, and detail-oriented individual with the following qualities:
• Tech-Savvy: Familiar with Xero accounting software or similar accounting systems.
• Strong Communication Skills: Excellent written and verbal communication skills.
• Attention to Detail: Strong ability to manage multiple tasks with a high degree of accuracy.
• Experience: Previous experience as an executive assistant or in a similar administrative role.
• Proactive & Energetic: You thrive in a fast-paced environment and are capable of handling multiple priorities.
• Australian or International Work Experience: Familiarity with working with international clients, particularly in Australia and New Zealand, is a big advantage.
• Accounting Knowledge: Previous experience in payroll/accounting is a bonus.
What We’re Looking For:
• Education: A tertiary education (diploma or degree) in a related field.
• References: At least 2 work-related references from previous roles.
• Experience: Prior experience with Australian companies is highly preferred.
• Enthusiasm & Energy: A high-energy individual ready to take on a challenging role with enthusiasm.
