Job Overview: We are seeking a detail-oriented and organized Office Assistant to join our small team. The ideal candidate will be responsible for a variety of administrative tasks that support our day-to-day operations, ensuring that our office runs smoothly and efficiently.
Key Responsibilities:
Assist with day-to-day office operations, including answering phones, managing emails, and greeting clients.
Maintain organized filing systems for documents, orders, and inventory.
Process orders and manage inventory levels, ensuring timely fulfillment and accurate record-keeping.
Help with customer inquiries and provide exceptional service both in-person and over the phone.
Prepare and send invoices, track payments, and assist with basic accounting tasks.
Support marketing efforts, including social media management and promotional materials.
Assist with shipping and receiving of gemstones and related products.
Perform general office duties, including photocopying, scanning, and data entry.
Qualifications:
High school diploma or equivalent; further education in business administration is a plus.
Previous experience in an office setting preferred, ideally in a retail or gem-related environment.
Strong organizational skills and attention to detail.
Excellent communication skills, both verbal and written.
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new software.
Ability to work independently as well as part of a team.
Passion for gemstones and a willingness to learn about the industry.
