Role Overview
The Accounts Assistant / Bookkeeper will be responsible for maintaining accurate financial records, supporting daily bookkeeping activities, assisting with payment tracking, preparing basic financial reports, and helping the management team keep strong control over income, expenses, supplier payments, guest payments, and property-level financial records.
This role is suitable for someone who is organised, trustworthy, confident with numbers, and comfortable working in a growing hospitality business.
Key Responsibilities
Bookkeeping & Financial Records
* Record daily income and expenses accurately.
* Maintain organised records of invoices, receipts, bills, and payment confirmations.
* Update accounting records in Excel and/or accounting software.
* Reconcile cash, bank payments, card payments, online payment links, and OTA/platform payouts.
* Track payments received from guests, booking platforms, and direct reservations.
* Support month-end closing activities.
Supplier & Expense Management
* Record supplier invoices and payment requests.
* Maintain supplier payment schedules.
* Track petty cash usage and ensure proper receipts are collected.
* Support approval workflows for expenses before payments are made.
* Help identify missing receipts, duplicate payments, or unusual expenses.
Guest & Reservation Finance Support
* Track reservation income, security deposits, refunds, and outstanding balances.
* Support reconciliation between booking platforms, payment gateways, and internal records.
* Assist with preparing guest invoices when required.
* Maintain clear records of refundable security deposits.
Property & Landlord Reporting
* Assist with preparing property-level income and expense summaries.
* Support landlord payout calculations where applicable.
* Help maintain records of property-related costs, commissions, cleaning fees, maintenance costs, utilities, and other deductions.
Payroll & Compliance Support
* Support preparation of staff salary records.
* Maintain attendance/payment-related records where required.
* Assist the accountant or management team with statutory and tax-related documentation.
* Help maintain records needed for EPF, ETF, tax filings, and other compliance requirements as directed by the accountant.
Administration & Reporting
* Prepare weekly and monthly finance summaries for management.
* Maintain digital and physical filing systems.
* Support audit preparation and document retrieval.
* Work closely with operations, reservations, and management teams to resolve payment or expense queries.
Required Skills & Experience
* Previous experience as an Accounts Assistant, Bookkeeper, Finance Assistant, or similar role.
* Good knowledge of basic accounting and bookkeeping principles.
* Strong Microsoft Excel skills.
* Experience with accounting software such as Xero, QuickBooks, Zoho Books, or similar is an advantage.
* Good attention to detail and accuracy.
* Ability to handle confidential financial information responsibly.
* Good communication skills
* Ability to work independently with minimal supervision.
Qualifications
* AAT, accounting diploma, finance qualification, or equivalent experience preferred.
* School leavers with strong accounting knowledge and the right attitude may also be considered.
* Prior experience in hospitality, property management, travel, or SME bookkeeping would be an advantage.
