Job Overview
LankaStaff is recruiting on behalf of our client for a Receptionist cum Admin Assistant to join a professional and dynamic corporate environment. This role is ideal for a proactive, well-organized, and customer-focused individual who can effectively manage front office operations while providing comprehensive administrative support.
The successful candidate will serve as the first point of contact for visitors and clients while ensuring the smooth day-to-day operation of the office.
Key Responsibilities
Reception & Front Office
Welcome and assist visitors, clients, and guests in a professional manner.
Answer and direct incoming phone calls, emails, and correspondence.
Maintain a clean, organized, and welcoming reception area.
Handle incoming and outgoing mail, courier services, and deliveries.
Coordinate meeting room bookings and maintain visitor records.
Administrative Support
Manage calendars, appointments, meetings, and schedules for management.
Coordinate meetings and communicate schedules with internal and external stakeholders.
Arrange travel, accommodation, and related logistics when required.
Prepare, organize, file, and maintain physical and electronic documents.
Perform accurate data entry and maintain company records.
Monitor office supplies and coordinate inventory replenishment.
Liaise with vendors and service providers, obtain quotations, and coordinate service agreements.
Process vendor payments, monitor invoices, and follow up on outstanding matters.
Assist with expense tracking and basic administrative bookkeeping.
Ensure timely completion of administrative tasks and documentation.
Candidate Requirements
Diploma or equivalent qualification.
Previous experience in Reception, Administration, Front Office, or a similar role is preferred.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office (Word, Excel, Outlook) and calendar management tools.
Strong organizational, multitasking, and time management skills.
Professional appearance with a positive and customer-focused attitude.
Ability to maintain confidentiality and handle sensitive information with discretion.
Preferred Qualifications
Experience coordinating vendors and managing administrative payments.
Fluency in English and Sinhala.
Knowledge of Hindi will be an added advantage.
